A. Personal Information you provide directly

- Service and property details: requested services, property access instructions (including gate codes and special latching instructions), scheduling preferences, and job-site notes.
- We limit access to gate instructions details and retain them only as long as needed for service delivery or customer relationship management.
- Communications: emails, text messages, call notes, and other communications with OOS.
- Billing and transaction details: invoice details, payment status, and transaction confirmations.
B. Personal Information we collect automatically (website)
- Device and usage information: IP address, browser type, device type, pages visited, time spent on pages, and referring/exit pages.
- Cookies and similar technologies: used for site functionality, analytics, and advertising measurement (see Section 7).
C. Personal Information we receive from third parties

- Payment card information is processed by third-party payment processors. OOS does not store full payment card numbers and relies on its processors to maintain appropriate payment security standards.

- Coordinate property access and route planning;
- Invoice, accept payments, and maintain accounting and tax records;

A. With service providers (vendors and processors)
We may share personal information with vendors that help us operate, including:
- Xplor and Clearent, ACHeck21 (payment processing and transaction confirmation),
- Google Ads and related measurement tools (advertising performance and conversion measurement),
- Website hosting, analytics, communications, scheduling/invoicing platforms, and IT/security providers.
These providers are required to use personal information only as necessary to provide services to us and for business operations consistent with this Policy. OOS is not responsible for the independent privacy practices of third-party service providers.
B. With our field teams to perform services
We may share necessary personal information with OOS personnel and contractors to perform the Services (e.g., service address, scope, and access instructions).

We may disclose personal information if required by law, subpoena, court order, or governmental request, or if we believe disclosure is necessary to protect rights, safety, and property, investigate fraud, address security incidents, or enforce our agreements.

6) Photos and Video; Marketing Use and Opt-Out in Writing
As part of providing Services, OOS may take photographs and/or video on or around the service area for documentation of site conditions, work performed, and quality control.
Marketing and advertising use: Unless you opt out in writing as described below, you grant OOS a non-exclusive, royalty-free license to use photos and videos taken on the property that relate to the Services for OOS marketing and advertising, including on our website, social media, printed materials, and digital advertising.
How to opt out: To opt out, you must submit your request in writing to oos@ozarksos.com or by mail to the address listed above. Your request must clearly state (a) the service address and (b) that you are opting out of marketing/advertising use of photos/videos.
Operational use still permitted: Even if you opt out of marketing/advertising use, OOS may still take, store, and use photos/videos for operational purposes such as documentation, quality control, training, insurance claims, safety, warranty issues, collections, and dispute resolution.
Marketing Visual Privacy Safeguards: When photographs or videos are used for marketing or advertising purposes, OOS applies reasonable steps to reduce the visibility of personally identifiable information or sensitive property details.
Unless explicit written consent has been obtained, OOS does not intentionally publish marketing photos or videos that include identifiable individuals who are not members of the OOS team. Identifiable voices or private conversations are not intentionally included in marketing videos
OOS does not intentionally publish marketing visuals that reveal a customer’s name, contact information, or other personal details.
Before images or videos are used publicly, OOS may review and modify them to obscure identifying details. Reasonable steps may include cropping, blurring, or removing elements such as:
- House numbers or street signs
- Vehicles visible on the property
- License plates
- Mailboxes that display names or numbers
- Distinctive personal items that could identify the resident
When possible, photos and videos are focused on the work performed (for example, landscaping areas, planting beds, or other service areas) rather than wide views of the entire property.
Where interior images are required for non-marketing purposes, OOS will obtain explicit consent from the customer before capturing or utilizing interior photos or video.
These practices are intended to reduce the visibility of identifying details while allowing OOS to document and showcase completed work.
7) Communications (Calls, Texts, and Email)
- Service communications: We may contact you by phone, text, or email regarding estimates, scheduling, confirmations, access coordination, service updates, and billing.
- Marketing communications: If we send marketing messages, you may opt out by following the instructions in the message or by contacting us. We will process opt-out requests within a reasonable time consistent with applicable law. You can unsubscribe from receiving text messages by replying STOP to unsubscribe.
- By providing your phone number, you consent to receive service-related texts. Consent is not a condition of purchase.
- Call recording (if applicable): We may record calls for training, documentation, and quality assurance purposes. Where required by applicable law, we will provide notice before recording.

Retention periods vary depending on the type of record and applicable legal, tax, insurance, and operational requirements. We retain personal information only as long as reasonably necessary for the purposes described in this Policy.
10) Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. No system is completely secure; therefore, OOS does not guarantee absolute security and disclaims liability for unauthorized access except where required by applicable law.
11) Missouri-Specific Notices
A. Missouri data breach notification (Mo. Rev. Stat. § 407.1500)
If OOS experiences a breach of security involving certain personal information, as defined by Missouri law, of Missouri residents (as defined by Missouri law), Missouri law requires notice to affected consumers without unreasonable delay, subject to limited law-enforcement delay circumstances
If OOS provides notice to more than 1,000 consumers at one time, Missouri law also requires OOS to notify the Missouri Attorney General's office and nationwide consumer reporting agencies of the timing, distribution, and content of the consumer notice.
B. Missouri comprehensive consumer privacy law status
Missouri has a data breach notification statute and various sector-specific privacy rules, but it is not generally treated as a state with a single, comprehensive consumer privacy law comparable to states such as California, Colorado, or Virginia.
